1. Information We Collect
We collect information you provide directly: account details (name, email, organization), team configuration data, retrospective content, and integration preferences. We also collect usage data such as feature interactions and performance metrics to improve the Platform.
2. How We Use Your Data
Your data is used to operate, maintain, and improve letRetro. AI analysis processes retrospective content to generate insights. We do not use your data to train models for unrelated purposes. Usage metrics help us optimize performance and develop new features.
3. Data Sharing
We do not sell your personal data. We may share data with trusted third-party service providers (e.g., cloud infrastructure, analytics) who are bound by confidentiality agreements. Data may be disclosed if required by law or to protect our rights.
4. Data Security
We implement encryption in transit (TLS 1.3) and at rest (AES-256). Access controls, regular security audits, and SOC 2 compliance measures are in place. However, no method of transmission is 100% secure.
5. Data Retention
We retain your data for as long as your account is active. Upon cancellation, data is securely deleted within 30 days. Backup copies may persist for up to 90 days. Retrospective data may be anonymized for aggregate analytics after deletion.
6. Your Rights
You have the right to access, correct, export, or delete your personal data. For GDPR and CCPA requests, contact us at [email protected]. We respond to all requests within 30 days.
7. Voice Agents and Audio Processing
If you use voice features — for example, speaking during a retro instead of typing — we only use your audio to turn it into text so your retrospective can run smoothly.
We don't save, collect, or use your voice or transcripts to train AI models, and we don't use your voice data for anything else.
Your audio is sent to our transcription provider, OpenAI Whisper, just to create the transcript and nothing more. It's processed on the fly and not saved. Our agreement with OpenAI includes zero data retention for this — they don't keep your audio or transcripts and don't use your voice data to train their models.
You can turn voice features off anytime in your workspace settings. If you don't use voice, no audio is recorded or sent at all.
8. Cookies
We use essential cookies for authentication and session management. Optional analytics cookies help us understand usage patterns. You can control cookie preferences through your browser settings.
9. Third-Party Integrations
In short, letRetro only talks to the tools you choose to connect — like Slack, Microsoft Teams, Jira, GitHub, GitLab, Notion, Google Drive, or Claude via MCP.
We ask for the smallest permissions needed to make that connection work. For example, if you click “create Jira ticket” we'll create that ticket for you, but we don't browse or pull anything else from your account.
Once you connect a tool, how your data is handled there is covered by that provider's own privacy policy, so we recommend taking a quick look before you connect. On our side, we process integration data right away and don't keep it longer than needed — MCP requests aren't stored at all beyond running the action.
You're always in control. You can disconnect any integration anytime from your workspace settings, and access is revoked immediately.
